01Information we collect
We collect information needed to provide the app and dashboard, including account information such as email address and user ID, subscription status, usage counters, chat prompts and responses, estimate inputs and outputs, saved chat history, optional photos, optional uploaded documents or text context, bug reports, support messages, and basic technical information from your device or browser.
02How we use information
We use information to create and secure accounts, provide HVAC/R AI Pro features, process chat and estimate requests, enforce subscription and usage limits, sync eligible history between mobile and web, respond to support requests, investigate bugs, improve app performance, prevent abuse, and comply with legal obligations.
03AI requests and uploaded content
When you use AI-powered features, your chat prompts, job details, estimate inputs, photos, uploaded documents, and related context may be sent to service providers such as OpenAI so the app can generate responses. Do not upload information you are not authorized to share. AI outputs may be stored with your account when history or saved-work features are enabled.
04Subscriptions and payments
Mobile subscriptions are handled through Apple and subscription management services such as RevenueCat. We use subscription and entitlement information to determine access level, restore purchases, and show account status. We do not receive or store your full App Store payment card details.
05Analytics and diagnostics
We use analytics and diagnostic tools, including Firebase services, to understand app usage, feature activity, subscription flow activity, crashes, and performance. Analytics events may include plan tier, account state, platform, whether an image or document context was used, and similar product-interaction data.
06Service providers
We rely on service providers to operate HVAC/R AI Pro, including Firebase and Google services for authentication, database storage, hosting, analytics, diagnostics, and security; OpenAI for AI-powered responses; RevenueCat for subscription entitlement management; Apple for App Store subscriptions and billing; and email or support tools when you contact us.
07Sharing and selling data
We do not sell your personal information. We share information only as needed to operate the app, provide requested features, manage subscriptions, respond to support, comply with law, protect users and the service, or work with service providers acting on our behalf. We do not use your data for third-party advertising tracking.
08Retention and deletion
Chat history may be retained for up to 3 days unless saved by the user. Certain account and diagnostic data may be retained longer for operational, security, analytics, legal, dispute-resolution, and recordkeeping purposes. You can request help accessing, correcting, or deleting your data, including a request to delete your account, by emailing hvacraipro@gmail.com. Deleting your account data may not delete records held by Apple, RevenueCat, or other providers under their own policies.
09Privacy rights
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data. These rights may arise under privacy laws such as the General Data Protection Regulation or the California Consumer Privacy Act. To make a privacy request, email hvacraipro@gmail.com with the account email connected to your request.
10Security
We use reasonable technical and organizational safeguards, including authenticated access and provider security controls, to protect information. No app, website, network, or storage system can be guaranteed completely secure, so you should avoid submitting unnecessary sensitive information.
11Children
HVAC/R AI Pro is intended for HVAC and refrigeration technicians and is not directed to children under 13. If you believe a child has provided personal information, contact hvacraipro@gmail.com so we can review and delete it where appropriate.
12Changes and contact
We may update this Privacy Policy as the app, dashboard, providers, or legal requirements change. The updated date on this page will show when it was last revised. Questions or privacy requests can be sent to hvacraipro@gmail.com.
